Coordinates delivery, inventory, space allocation, records receipting, and database entry and retrieval activities for the records storage facility.

Duties and Responsibilities

  1. Retrieves, allocates space, and stores files and boxes of records in accordance with policies and procedures.
  2. Performs routine duties related to the pick up and delivery of files and boxes from all departments of the university, operating a university motor vehicle, as necessary.
  3. Maintains and updates a records retention database; performs data entry and retrieval tasks.
  4. Purges records according to the State Records Center guidelines and departmental requirements.
  5. May coordinate and lead the work of others.
  6. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Ability to safely operate a motor vehicle.
  • Knowledge of basic warehousing procedures, facilities, and equipment.
  • Records maintenance skills.
  • Ability to understand and follow safety procedures.
  • Knowledge of basic receiving and inventory management procedures.
  • Ability to prepare routine administrative paperwork.
  • Basic data entry and/or word processing skills.
  • Knowledge of State Records Center guidelines and procedural requirements.

Conditions of Employment

  • Possession of a valid New Mexico driver's license is a requirement for this job.
  • This position is represented by a labor union and is subject to the terms and conditions of the CWA Collective Bargaining Agreement.

Working Conditions and Physical Effort

  • Considerable physical activity. Requires heavy physical work; heavy lifting, pushing, or pulling required of objects up to 50 pounds. Physical work is a primary part (more than 70%) of job.
  • Work environment involves minimal exposure to physical risks, such as operating dangerous equipment or working with chemicals.
  • Work may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
