The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Summary

Under general supervision, procures, receives, and issues materials, supplies, equipment and tools. Ensures delivery to job site or area. Records pertinent information in computerized inventory and financial systems. May perform expediting duties in a specialty area such as custodial/housekeeping or one or more building maintenance trades.

Duties and Responsibilities

  1. Ensures that all materials, supplies, and equipment received for department or project are processed and distributed in a timely manner.
  2. Inspects shipments and records damages or defects; notifies supervisor and/or purchasing personnel of same.
  3. Oversees the maintainance of parts and equipment on hand; initiates paperwork to purchase additional quantities when necessary.
  4. Receives incoming materials, supplies, and equipment and compares information on packing slip with purchase order to verify accuracy of shipment.
  5. Prepares purchasing and accounting paperwork such as small purchase orders and requisitions; reconciles invoices with purchase orders in preparation for payment processing.
  6. Corresponds with suppliers for quotations; maintains contact with vendors regarding current status of purchase orders.
  7. Moves materials, supplies, and equipment from receiving locations to job sites by carrying, pushing, rolling, or using hand trucks.
  8. Maintains inventory databases.
  9. Uncrates and/or assembles equipment.
  10. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Ability to receive, track, and distribute materials, supplies, and equipment.
  • Skill in the use of computers, preferably in a PC, Windows-based operating environment.
  • Ability to communicate effectively, both orally and in writing.
  • Records maintenance skills.
  • Database management skills.
  • Knowledge of customer service standards and procedures.
  • Ability to use hand and power tools applicable to trade.
  • Knowledge of university accounting procedures involving procurement, travel, and/or employment.
  • Ability to lift and manipulate heavy objects.
  • Ability to read, sort, check, count, and verify numbers.
  • Ability to detect problems and report information to appropriate personnel.

Conditions of Employment

  • Possession of a valid New Mexico driver's license is a requirement for this job.
  • A pre-employment background investigation may be required.
  • Successful candidate must submit to post-offer, pre-employment physical examination and medical history check.

Working Conditions and Physical Effort

  • Considerable physical activity. Requires heavy physical work; heavy lifting, pushing, or pulling required of objects up to 50 pounds. Physical work is a primary part (more than 70%) of job.
  • Work environment involves minimal exposure to physical risks, such as operating dangerous equipment or working with chemicals.
  • Work may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
