The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Under general supervision, provides operational and administrative supervision of a branch student bookstore operation and ancilliary retail services. Oversees and coordinates inventory control, sales and returns, vendor relations, cash managent, and related reporting. May supervise regular and/or temporary customer service/stock management staff and/or students.

Duties and Responsibilities

  1. Manages the operation of a store unit, including purchasing of supplies and books, special orders, receiving and shipping, and return of overstocked or defective merchandise.
  2. Supervises personnel which typically includes recommendations for hiring, firing, performance evaluation, training, work allocation, and problem resolution.
  3. Oversees and coordinates the payment of invoices and freight bills on blanket purchase orders, small purchase orders, and check requests.
  4. Prepares and administers the bookstore budget; recommends, implements, and administers operating policies and procedures.
  5. Works with faculty and vendors to acquire and assure availability of new/used texts and class supplies for students.
  6. Oversees maintenance of stock, displays, signs, and inventory; manages year end inventory utilizing computer to check for theft and shrinkage.
  7. Develops and implements systems and processes to establish and maintain records for the operating unit.
  8. Represents the organization at various community and/or business meetings, committees, and task forces; promotes existing and new programs and/or policies.
  9. May oversee or manage the operation of auxiliary services such as vending machines or student service areas.
  10. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Skill in the use of computers, preferably in a PC, Windows-based operating environment.
  • Ability to develop and maintain recordkeeping systems and procedures.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Skill in budget preparation and fiscal management.
  • Ability to communicate effectively, both orally and in writing.
  • Skill in the use of personal computers and related software applications.
  • Ability to receive, stock, and/or deliver goods.
  • Knowledge of purchase orders and related accounts payable documentation.
  • Ability to make administrative/procedural decisions and judgments.
  • Knowledge of procurement rules and regulations.
  • Knowledge of retail floor merchandising and stock control procedures.
  • Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
  • Ability to foster a cooperative work environment.

  • Knowledge of textbook and school supply vendors and procurement procedures.

Distinguishing Characteristics

    Position requires: a) independent oversight of all day-to-day bookstore operations, to include customer service, in-store merchandising and stock management, and cash management; b) coordination of purchasing, receiving, inventory management, shipping, and returns for the store; c) preparation and coordination of store budgets, invoicing, and accounts payable; d) participation the development of operating policies and procedures for the store; e) full day-to-day supervision of one or more lower level staff engaged in bookstore activities.

Working Conditions and Physical Effort

  • Moderate physical activity. Requires handling of average-weight objects up to 25 pounds or standing and/or walking for more than four (4) hours per day.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.

The University of New Mexico provides all training required by OSHA to ensure employee safety.
