The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Summary

Provides clerical and administrative support to a unit involved with institutional fundraising programs and activities. Coordinates activities regarding the solicitation and receipt of donor contributions through pledge drives and/or other fundraising activities. Maintains records and mailing lists; generates fundraising progress reports. May coordinate volunteers.

Duties and Responsibilities

  1. Provides clerical and administrative support for the planning and coordination of fundraising activities such as television on-air time, direct mailings, telemarketing campaigns, contracts and special events.
  2. Provides clerical and/or accounting support to the unit, as appropriate to the position, including data entry of contributions and billings; receives, records, deposits, and tracks revenues.
  3. Confirms, verifies, and/or follows-up on deposits, gift requests, matching gift contributors, and credit card charges; provides information to donors and prospective donors as required.
  4. Maintains database files and records including those used to track contributions; maintains accurate mailing lists.
  5. Performs research and obtains supporting documentation to initiate, verify, quantify, or complete assignments.
  6. Schedules appointments and maintains calendars; schedules, coordinates and facilitates meetings, creates volunteer schedules and coordinates assignments, facilities usage, events, and/or travel arrangements, as required.
  7. Generates reports; generates labels and mails premiums and/or fundraising materials and/or publications to donors.
  8. May write or draft solicitation proposals, reports, press releases, letters, and other materials.
  9. May lead, guide, and train staff/student employees, interns, and/or volunteers performing related work; may participate in the recruitment of volunteers, as appropriate to the area of operation.
  10. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Ability to perform simple accounting procedures.
  • Knowledge of cash management principles and/or procedures.
  • Skill in the use of personal computers and related software applications.
  • Ability to plan work schedules and assign duties; ability to provide or arrange for training.
  • Records maintenance skills.
  • Ability to communicate effectively, both orally and in writing.
  • Database management skills.
  • Skill in organizing resources and establishing priorities.
  • Ability to functionally lead, train and motivate staff and student employees, to include organizing, prioritizing, and scheduling work.
  • Ability to read, sort, check, count, and verify numbers.
  • Ability to investigate and analyze information and draw conclusions.
  • Computer data entry skills.
  • Clerical, word processing, and/or office skills.

Distinguishing Characteristics

    Position requires: a) Confirming, verifying and/or following-up on deposits, gift requests, matching gifts and credit card charges; b) providing information to donors and prospective donors; c) maintaining database files and records; d) performing research and obtaining documentation to initiate, verify, quantify, or complete assignments.

Conditions of Employment

  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.

The University of New Mexico provides all training required by OSHA to ensure employee safety.
