Summary

Directs and oversees administrative and operational support services/programs for large, organizationally complex operating component or service center consisting of multiple and diverse activities and programs. Deputizes for and/or represents the senior executive officer of the entity as required. Provides administrative leadership and oversight for one or more assigned service programs and departments across the ISS Division, including oversight of fiscal, human resources, marketing, project management and other operational functions.

Duties and Responsibilities

  1. Directs and oversee all facets of daily operations of multiple departments within the organization, ensuring compliance with the University, state, and federal laws, policies, and regulations, as well as, the effectiveness and financial sustainability of the programs and services provided.
  2. Engages in contract negotiations for the purchase and production of materials and services in assigned areas of responsibility.
  3. Manages and oversees the administration of contractual arrangements with external vendors, operators, and suppliers to include approving equipment purchases, repairs, and maintenance; reviewing and approving changes to operations, products, and pricing structures; approving marketing collateral and communications; approving subcontractors in the Student Union Building; managing construction, remodel, and installation schedules and budgets; and approving new hires as needed.
  4. Coordinates strategic planning and goal development for assigned departments in the organization; monitors achievement of goals and objectives and provides reports; participates in the development and implementation of short- and long-term strategic plans and operations for the ISS Division.
  5. Designs establish, and maintain an organizational structure and staffing in assigned departments to effectively accomplish the organization's goals and objectives; oversees recruitment, training, supervision, and evaluation of unit staff, both directly and through lower level managers and supervisors.
  6. Oversees and monitors the development and preparation of annual budgets for assigned departments; plans, develops and implements methods and facilities for enhancing revenue sources and or generating new revenue sources for the organization, in collaboration with ISS leadership.
  7. Provides direction and coordination in the planning, development, and implementation of special projects and initiatives for the organization.
  8. Oversees and coordinates the planning, implementation, and management of all aspects of information systems, technology, system security, and database integrity for assigned departments in the organization.
  9. Oversees compliance activities across the various organizational components.
  10. Provides coordination and serves as liaison with other components of the University to concerning assigned departments; anticipates, identifies, and troubleshoots issues of concern or significance and exercises discretion to provide timely information and necessary updates across multiple stakeholders.
  11. Develops and implement systems and processes to establish and maintain records for assigned departments.
  12. Reviews and ensures accurate completion and timely submission of governmental, University, and other reports as required, with respect to assigned areas of responsibilities.
  13. Represents the organization to various institutional divisions as well as externally to professional and community constituencies.
  14. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 3 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Conditions of Employment

  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
