The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Transcribes medical information from tape or written text using a computer and proofreads finished documents for accuracy and completeness. Distributes and files reports according to established procedures. Monitors operational quality and productivity, leads and coordinates day-to-day transcription activities, and participates as appropriate in the hiring, training, and allocation of work to lower level transcriptionists.

Duties and Responsibilities

  1. Transcribes and edits recorded or written material, including operative reports, discharge summaries, patient history and examinations, physician letters and notes, and pharmacy, rehabilitation, autopsy, and x-ray reports.
  2. Collects statistical data to analyze departmental productivity.
  3. Oversees daily activities of department to optimize productivity and quality of work.
  4. Leads and/or guides employees performing related work; participates in hiring, interviewing, and training process of new transcriptionists.
  5. Verifies accuracy of patient information such as name and identification number; verifies accuracy of transcription for correct punctuation, grammar, and spelling.
  6. Responds to inquiries for release of medical information, ensuring that legal requirements are followed and proper consent has been obtained.
  7. Maintains logs of medical procedures, incoming dictation, and transcription records.
  8. Follows established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards.
  9. Distributes and collects dictation and transcribed reports; follows up on physicians' missing and/or late dictation.
  10. Sorts, copies, prepares, assembles, and files records and charts.
  11. Ensures strict confidentiality of financial records.
  12. May maintain disk and disk back up system; may order supplies and report equipment operational problems.
  13. May take minutes of transcription department meetings.
  14. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Ability to follow routine verbal and written instructions.
  • Ability to maintain quality, safety, and/or infection control standards.
  • Ability to monitor and/or maintain quality control standards.
  • Transcription skills.
  • Ability to gather and analyze statistical data and generate reports.
  • Knowledge of medical terminology.
  • Records maintenance skills.
  • Knowledge of human resources concepts, practices, policies, and procedures.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Knowledge of related accreditation and certification requirements.
  • Ability to lead and train staff and/or students.
  • Skill in the use of operating basic office equipment.
  • Ability to read, sort, check, count, and verify numbers.
  • Knowledge of legal and ethical issues related to patients' rights.

Distinguishing Characteristics

    Position requires: a) Day-to-day quality assurance responsibility for the transcription activities of the unit b) Compilation of statistical data to analyze unit productivity c) Leading/guiding other employees performing related work; participation in interviewing, hiring, and training of new transcriptionists d) Use of independent judgement in customer interactions and response to inquiries for confidential information e) Ensuring unit compliance with legal requirements regarding disclosure of medical records and patient consent

Conditions of Employment

  • This position is represented by a labor union and is subject to the terms and conditions of the CWA Collective Bargaining Agreement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.

The University of New Mexico provides all training required by OSHA to ensure employee safety.
