Summary

Under general direction, coordinates the daily customer order fulfillment operations for the UNM Sign Shop. Serves as a primary point of contact to facilitate communication and workflow between customers, suppliers, internal departments, and brandingentities to ensure timely and accurate order processing. Supports order intake, production scheduling, and release of completed work in accordance with established policies and customer requirements. Assists with process documentation and continuous improvement initiatives to promote operational efficiency and service quality. Responds to customer inquiries and assists in resolving complex requests by coordinating with appropriate stakeholders.

Duties and Responsibilities

  1. Coordinates day-to-day operational activities to support timely customer service, efficient order processing, and consistent quality outcomes. Receives and prioritizes customer orders, coordinates scheduling, and releases orders of completed work in accordance with established policies and procedures.
  2. Provides operational guidance regarding workflow processes and safe equipment use.
  3. Investigates and resolves complex customer requests by coordinating with internal stakeholders and vendors as needed.
  4. Reviews order-related system invoices, reports, and production documentation to support accuracy and compliance with established procedures.
  5. Supports the development and maintenance of operational goals and service expectations for the unit. Assists with the development and implementation of operational goals and process improvements to enhance efficiency and customer satisfaction.
  6. Tracks inventory levels for equipment, materials, and supplies to ensure availability for production needs.
  7. Facilitates communication between customers, branding and marketing, facilities standards, and suppliers to support approvals, specifications, and production timelines.
  8. Produces and fabricates signage using computer-based design tools, cutting machines, engraving equipment, and other related machinery in accordance with established standards.
  9. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Skill in the use of personal computers and related software applications.
  • Ability to communicate effectively, both orally and in writing.
  • Knowledge of customer service standards and procedures.
  • Knowledge of applicable software and database systems,
  • Knowledge of procedures and documentation for the processing and placement of retail customer orders.
  • Ability to analyze and solve problems.
  • Skill in daily use of various equipment, such as printers, plotters, and engravers.
  • Knowledge of various materials related to sign production.
  • Ability to read, interpret, and understand brand, sign and ADA guidelines.
  • Ability to coordinate, organize, prioritize, and schedule work assignments.
  • Knowledge of general sign fabrication and design principles.
  • Ability to foster a cooperative work environment.

Conditions of Employment

  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • Moderate physical activity. Requires handling of average-weight objects up to 25 pounds or standing and/or walking for more than four (4) hours per day.
  • Work environment involves some exposure to hazards or physical risks, which require following basic safety precautions.
  • Work may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
