Summary

Coordinates functions for presented public performances, performing and/or overseeing a variety of administrative, staff support and planning activities. Provides operational, administrative and marketing coordination and serves as liaison with internal/external organizations.

Duties and Responsibilities

  1. Establishes and maintains timelines, files, inventories and records for contracted events; proofreads all season brochures, newsletters, and programs; assists with media settlement reports; implements and maintains project management systems as required.
  2. Works closely with programming staff to consult with agents in the development of the annual season of presented events; assists with preparation of show documents, including offer letters.
  3. Consults with show representatives to secure program materials and obtain approvals.
  4. Participates in the review, evaluation, and selection of shows for inclusion into designated show series, such as the Schooltime Series.
  5. Provides specialized administrative support in the development, implementation, and marketing of programs; schedules meetings and appointments, as necessary.
  6. Develops and maintains up-to-date facility rental information with technical team, provides information to potential renters, oversees estimation of rentals, works closely with contract office to ensure accuracy and confirm detail, and prepares ticketing sheets for rental events.
  7. Assists with pricing compilation, event descriptions, and works closely with media buyers to track and obtain approvals for radio, TV, and print advertising.
  8. Assists with general marketing department needs, including social media scheduling, customer service, and other related duties as needed.
  9. Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
  10. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of contract documents and specifications.
  • Records maintenance skills.
  • Ability to coordinate and schedule facility repairs.
  • Knowledge of special events planning and catering procedures.
  • Knowledge of data management techniques.
  • Knowledge of computer spreadsheets and other related applications.
  • Proposal and grant writing skills.
  • Ability to schedule events and/or facilities usage.
  • Knowledge of federal, state and/or community funding sources and mechanisms.
  • Negotiating skills.

Conditions of Employment

  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
