The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Summary

Under limited supervision, provides specialized administrative and operational support to a self-contained academic school or college with respect to a wide range of student orientation and career services activities. Provides day-to-day administration and coordination in such areas as admissions, financial aid and scholarships, orientation programs and advisement, and graduate career placement programs.

Duties and Responsibilities

  1. Provides assistance and support to the office principal in problem solving, project planning and management, and development and execution of stated goals and objectives.
  2. Participates in the development of operating goals and objectives for the unit; recommends, implements, and administers methods and procedures to enhance operations, as appropriate to the unit.
  3. Serves as primary liaison with internal and external constituencies on all matters relating to program activities; represents the University with respect to program activities on a local, regional, and/or national basis.
  4. Schedules and facilitates external employer recruitment visits, and serves as liaison between employer representatives and university faculty and students on all issues and problems associated with employer recruitment visits.
  5. Coordinates registration and orientation of students, and provides individual student advisement as appropriate, in accordance with university policy, accreditation standards, and privacy laws.
  6. Provides advice students regarding scholarships and other financial aid opportunities, including eligibility requirements and application procedures; provides administrative liaison and advocacy to students as appropriate.
  7. Establishes and maintains communication with national employer representatives, and promotes on-campus visits for the purpose of interviewing and hiring university graduates.
  8. Oversees the operation of office accounts, and plans and monitors expenditures; as appropriate, develops and/or coordinates budgets for the office and associated accounts.
  9. Maintains databases, files, and/or library resources pertaining to graduate employment opportunities; notifies students and graduates of opportunities, and advises on employment research methods and procedures.
  10. Provides various data management support to the department, as appropriate; develops and maintains manual and automated files and records, gathers, analyzes, and compiles information, and prepares reports.
  11. Plans, develops, and implements various special projects as assigned; plans, coordinates, promotes and facilitates special events, programs, and/or activities.
  12. Creates, produces, and delivers a range of promotional, educational, and informational presentations, and/or resource materials related to program activities and initiatives.
  13. Performs a variety of administrative and staff support duties for the unit as appropriate, such as assisting and directing visitors, resolving administrative problems and inquiries; composing and editing correspondence and reports, and preparing administrative documents.
  14. Represents the organization at various community and/or business meetings, committees, and task forces; promotes existing and new programs and/or policies.
  15. Serves as Campus Security Authority as outlined by the Clery Act.
  16. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Organizing and coordinating skills.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Ability to communicate effectively, both orally and in writing.
  • Knowledge of communication principles, media, and marketing techniques.
  • Database management skills.
  • Ability to use independent judgment and to manage and impart information to a range of clientele and/or media sources.
  • Knowledge of basic office management and administration principles and procedures.
  • Knowledge of budget preparation, cost estimating, monitoring, and fiscal management principles and procedures.
  • Strong interpersonal skills and the ability to effectively work with a wide range of individuals and constituencies in a diverse community.
  • Knowledge of career planning and/or career services principles and practices
  • Ability to research information from a variety of resources, collect and compile data and statistics, and prepare reports and summaries.
  • Knowledge of student admissions, orientation, and administrative advisement procedures and standards.
  • Knowledge of of student scholarship and financial aid programs and procedures.
  • Ability to make administrative/procedural decisions and judgements.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
