Summary

Coordinates one or more defined operational areas within the enrollment services function of the University. Plans and coordinates special projects and activities; serves as liaison with interior and exterior entities and; participates in departmental initiatives to automate systems and improve services. Under general supervision, plans and coordinates the day-to-day operational and administrative assignments within and/or across other operating units.

Duties and Responsibilities

  1. Oversees, plans and coordinates complex operational and administrative assignments and special projects within and/or across operating units; gathers, organizes, and analyzes information, and develops and prepares recommendations.
  2. Administers day-to-day registration policies and procedures.
  3. Management of student records, including transcripts for all types and certifications through complete production process.
  4. Independently processes all records and tasks through workflow functions, including the collection and maintenance of records, scanning documents, research and investigation of records history and university policies; verification, adjustment, and completion of assignments.
  5. Participates in the development of technology applications for the registrar's office.
  6. Operates independently as the primary point-of-contact as administrative liaison and coordinates interaction between department operating units, other university departments and programs and/or external agencies, as appropriate.
  7. Resolves student registrations issues and/or discrepancies utilizing analytical and research techniques.
  8. Advises and supports Enrollment Management units and staff on processing, policies, and student support.
  9. Provides guidance, troubleshooting and problem solving including researching records information as necessary across university and exterior entities to respond to and address specific applicant/student concerns and/or inquiries.
  10. Participates in various committees and professional organizations.
  11. Coordinates and/or contributes to the overall planning, development, and implementation of short-term and long-range goals and objectives
  12. May supervise student employees, volunteers and/or interns; may lead lower-graded staff.
  13. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Knowledge of federal, state, local, and university regulations, guidelines, and standards in the personnel area and ability to interpret and apply these.
  • Knowledge of policies and procedures pertaining to university student admissions, registration, and records.
  • Advanced knowledge and understanding of one or more areas of student enrollment management in a postsecondary institution.

  • Ability to make administrative and procedural decisions and judgements on sensitive, confidential issues.

Conditions of Employment

  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
