Summary

Oversees, coordinates, and administers the integrated student enrollment function, to include admissions and associated advisement activities, registration, records management, and related compliance matters, for all student athletes recruited into the University's various NCAA Division I Intercollegiate Athletics programs.

Duties and Responsibilities

  1. Oversees the establishment of all initial and continuing certifications of academic eligibility for all intercollegiate student athletes, in accordance with NCAA and Mountain West Conference regulations, bylaws, and procedural requirements.
  2. Provides or oversees advice and counsel to prospective freshman and transfer student-athletes and their families, as appropriate, on University admission and/or transfer requirements, initial NCAA eligibility, and/or NCAA transfer eligibility requirements.
  3. Determines admissibility, transferability of credit, and residency for all prospective student-athletes; provides input and recommendations in determining admissibility of special consideration cases.
  4. Manages all student-athlete registration activities, to include placing and suspending holds, course approval, administration of transcripts, academic transactions, degree audits, monitoring of graduation rates, and data coding and maintenance.
  5. Assists and advises coaches in their recruitment efforts; counsels coaches, students and families on NCAA Initial Clearinghouse eligibility.
  6. Manages the collection and retention of all enrollment data and records for student athletes, ensuring compliance with all relevant federal and state laws and regulations, NCAA and Mountain West Conference requirements, and University policies and procedures.
  7. Develops and implements general operating policies, systems, and procedures with respect to student-athlete admissions and enrollment, records management, and reporting.
  8. Acts as primary liaison with and between various constituencies, to include students, parents, high school and college officials, faculty, University academic officials, alumni, and the Athletic Department with respect to a wide range of athletic admissions and enrollment issues.
  9. Utilizes computerized systems to communicate with students, process admissions, determine eligibility, prepare reports and/or analyze data.
  10. Participates in various campus committees, and state and regional professional organizations.
  11. Serves as Campus Security Authority as outlined by the Clery Act.
  12. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 4 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Ability to develop and maintain recordkeeping systems and procedures.
  • Knowledge of NCAA student-athlete academic eligibility requirements.
  • Strong verbal and written communication skills and the ability to present information effectively to groups.
  • Knowledge of the rules, regulations, and laws regarding student records.
  • Data management and tracking skills.
  • Knowledge of NCAA regulations and guidelines governing the recruitment and retention of student-athletes.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Demonstrated knowledge and understanding of NCAA Division 1A student-athlete certification procedures and requirements.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Comprehensive working knowledge of university-level student registration policies, regulations, procedures, and standards.
  • Knowledge of relevant laws, regulations, policies, and guidelines associated with the creation and handling of student records.
  • Demonstrated knowledge of university admissions policies, regulations, systems, and procedures.
  • Knowledge of NCAA and Mountain West Conference rules regarding the collection and retention of student-athlete enrollment data.
  • Ability to effectively utilize computerized student information systems and NCAA Compliance Assistance software
  • Skill in the use of computerized spreadsheet, relational database, and word processing software.
  • Strong interpersonal skills and ability to work effectively at all levels in a collaborative team environment.

Conditions of Employment

  • Compliance with all NCAA rules and regulations is required in this position.

Working Conditions and Physical Effort

  • No or very limited physical effort required.

  • Work is normally performed in a typical interior/office work environment.
