Summary

Directs and oversees the faculty affairs functions of the School of Medicine (SOM), including regular and volunteer faculty, letters of academic title, Veterans Affairs (VA) hospital hires, and graduate medical program participants. Functions as primary point of contact regarding faculty recruitment, employment practices, and associated policies and procedures within SOM.

Duties and Responsibilities

  1. Establishes, implements, and directs the policies, procedures, and processes for the management of SOM faculty affairs; ensures faculty recruitment and employment practices are compliant with all institutional, state, and federal laws, regulations, policies, and/or conventions.
  2. Oversees and monitors all day-to-day faculty affairs activities for the School of Medicine, to include contracts, compensation, payroll, recruitment, and hiring, ensuring compliance with all relevant regulations, policies, and conventions; directs and coordinates source data station operations.
  3. Functions as subject matter expert on complex issues involving faculty matters such as compensation and benefits, conflict resolution, professional development, and leave requests.
  4. Directs and leads recruitment of all SOM senior faculty, to include department chairs, program directors, and associate deans. Leads other high-level faculty searches across the Health Sciences Center (HSC) as needed.
  5. Provides advice and guidance to leadership and senior faculty on the interpretation and application of institutional policies, practices, and procedures related to faculty affairs and employment practices.
  6. Works with University Counsel on issues related to faculty conflict resolution and/or policy issues.
  7. Oversees and/or coordinates faculty governance activities. Appoints, coordinates, and monitors various faculty committees and task forces.
  8. Oversees faculty retention strategies and programs. Ensures all units within SOM utilize and maintain accurate records and data regarding faculty retention strategies and programs.
  9. Reviews and coordinates all faculty compensation and/or contractual expenditure levels for SOM. Works with the VA Medical Center to coordinate expenditures for faculty with VA Medical Center salaried appointments.
  10. Leads and/or monitors special activities such as faculty and departmental reviews, faculty receptions and functions, and faculty/administrative participation in special events.
  11. Serves on various SOM and university policy-making committees to include serving as the SOM faculty policy manager.
  12. Oversees the Supervision of personnel, which includes work allocation, training, promotion, enforcement of internal procedures and controls, and problem resolution; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance.
  13. Plans, designs, and oversees the management of information and administrative systems; reviews, analyzes and interprets data and produces periodic and ad hoc reports as required.
  14. Participates in the development of annual operating budgets and provides fiscal direction to the unit.
  15. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 7 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of laws, regulations, policies, and institutional practices specific to the human resources management of medical school faculty.
  • Knowledge of faculty governance issues and processes.
  • Knowledge of current and emerging issues and trends associated with the administration of a large medical faculty.
  • Knowledge of computerized human resources and payroll systems.
  • Knowledge of faculty and/or staff hiring procedures.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Conflict resolution and/or mediation skills.
  • Ability to design and implement systems necessary to collect, maintain, and analyze data.
  • Ability to investigate and analyze information and draw conclusions.
  • Skill in organizing resources and establishing priorities.
  • Ability to foster a cooperative work environment.
  • Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.

Working Conditions and Physical Effort
