Summary

In support of the University Ombuds Services, provides intake, conflict coaching, referral, and case coordination services to assist with the prevention, identification, and management of workplace and academic conflict. Applies mediation, facilitation, negotiation, and conflict coaching techniques primarily during intake and case coordination for matters of moderate complexity, in consultation with senior Ombuds as appropriate. Upholds the core principles of an organizational ombuds practice, including confidentiality, impartiality, independence, informality, non-retaliation, fairness, and ethical problem-solving. Supports outreach, training, data analysis, and reporting activities that promote constructive communication, conflict resolution, and collaborative problem-solving across the university community.

Duties and Responsibilities

  1. Provides professional ombuds support as an intake, coordination, and conflict coaching resource for individuals and groups seeking informal assistance with workplace and academic concerns.
  2. Listens to individuals during intake, clarifies concerns and goals, and assists in identifying appropriate options, referrals, and next steps for informal resolution.
  3. Applies mediation, facilitation, negotiation, and conflict coaching techniques for matters of moderate complexity, in consultation with Associate or University Ombuds as appropriate.
  4. Coordinates intake, scheduling, case flow, and case documentation to support efficient operation of Ombuds Services.
  5. Conducts preliminary research related to organizational structures, policies, and procedures to support case preparation and resolution efforts.
  6. Participates in case consultation and review discussions; provides input regarding trends, recurring issues, and systemic concerns observed through case activity.
  7. Collects, maintains, analyzes, and reports anonymized case and utilization data; prepares reports, summaries, and visual materials to support internal analysis and required reporting.
  8. Supports outreach and training activities by assisting with the preparation, coordination, promotion, and delivery of workshops and informational sessions related to constructive communication and conflict management.
  9. Maintains Ombuds Services administrative operations, including records maintenance, meeting coordination, documentation, office organization, and support of compliance and operational requirements.
  10. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 1 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Conditions of Employment

  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
