Summary

Serves as the President's principal executive support professional and trusted partner, overseeing the coordination and management of the President's daily priorities, commitments, and workflow. In close collaboration with the Chief of Staff and Deputy Chief of Staff, ensures the President's time, attention, and decision-making capacity remain focused on the University's highest strategic priorities. Enhances presidential effectiveness through exceptional executive prioritization, sound judgment, proactive planning, and seamless coordination of key initiatives, engagements, and institutional priorities. Exercises exceptional discretion and independent judgment in managing executive access, evaluating requests for the President's involvement, coordinating complex and often competing scheduling demands, and anticipating emerging issues requiring presidential awareness or action. Serves as a central point of coordination among executive leadership, the Board of Regents, and internal and external stakeholders, facilitating effective communication, timely follow-through, and the successful execution of presidential priorities. Handles highly sensitive and confidential matters with the utmost professionalism, political acumen, and discretion. Represents the Office of the President with integrity, diplomacy, and a strong commitment to excellence, fostering productive relationships and ensuring the highest standards of service, responsiveness, and organizational effectiveness.

Duties and Responsibilities

  1. Serves as the principal executive support to the President, managing competing priorities and ensuring the President's time, attention, and activities are aligned with institutional goals and strategic initiatives.
  2. Exercises independent judgment in evaluating requests for presidential meetings, appearances, communications, and engagements; determines appropriate disposition, recommends priorities, and ensures the President's involvement is focused on activities that maximize effectiveness and strategic impact.
  3. Anticipates and monitors emerging issues, deadlines, and commitments requiring presidential attention, proactively adjusting priorities as circumstances evolve.
  4. Ensures the President is fully prepared for meetings, events, travel, and public engagements by coordinating and assembling briefing materials, agendas, talking points, background information, and decision-support resources.
  5. Manages and tracks executive decisions, commitments, and action items; coordinates follow-up with university leadership and external stakeholders, monitors progress, and ensures accountability for timely completion.
  6. Manages the President's complex calendar, ensuring effective prioritization of executive responsibilities and optimal use of time.
  7. Coordinates presidential travel, meetings, itineraries, and related logistics, ensuring arrangements are efficiently managed and support the effective execution of presidential responsibilities.
  8. Manages executive correspondence and communications by prioritizing inquiries, drafting and reviewing routine communications, ensuring timely responses, and maintaining professionalism, accuracy, and confidentiality.
  9. Facilitates communication between the President, university leadership, governing bodies, and key stakeholders, ensuring priorities, decisions, initiatives, and concerns are communicated effectively and addressed appropriately.
  10. Reviews and ensures accurate completion and timely submission of governmental, University, and other reports as required, with respect to assigned areas of responsibility.
  11. Coordinates and/or assists with establishing or recommending budget allocations for the office and reviews revised and final budgets; may coordinate the budget processes for one or more other internal or external organizational entities, as specifically assigned.
  12. Participates in various committees and professional organizations.
  13. May negotiate and administer contracts and/or agreements.
  14. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Demonstrated ability to independently assess competing priorities, anticipate executive needs, exercise discretion, and exercise sound executive judgment in support of the President within a dynamic, highly visible environment.
  • Demonstrated experience supporting senior executives in a complex organization.
  • Knowledge of the goals, objectives, structure, and operations of a major public university.
  • Exceptional interpersonal skills with the ability to work effectively with administrators, academic leaders, faculty, students, community leaders, public officials, funding agencies, and external stakeholders.
  • Demonstrated organizational management skills.
  • Exceptional written, verbal, presentation, and interpersonal communication skills, including the ability to draft, edit, and manage sensitive correspondence.
  • Advanced analytical, evaluative, and objective critical thinking skills and the ability to effectively summarize and present information.
  • Ability to maintain strict confidentiality and exercise sound discretion.
  • Demonstrated ability to develop and maintain recordkeeping systems and procedures.
  • Knowledge and understanding of institutional policies and procedures and the regulatory environment within which they operate.
  • Ability to foster a cooperative and collaborative work environment.

Conditions of Employment

  • Position may require attendance at evening, weekend, and off-campus events.
  • May require travel on behalf of the President's Office.
  • Employees in this job title are subject to the terms and conditions of an employment contract. Employment contracts are typically subject to review and renewal on an annual basis.

Working Conditions and Physical Effort

  • Work is normally performed in a typical interior/office work environment.
