Summary
Manages the day-to-day fiscal, operational, and administrative activities of ticketing and concessions for all venues within the College of Fine Arts, ensuring compliance with University, state, and federal regulations. Organizes and coordinates the financial and operational workflow for front-line entities, including scheduling, inventory management, and equipment security. Collaborates with Marketing and other stakeholders to enhance revenue generation, elevate the patron experience, and support broader outreach initiatives.
Duties and Responsibilities
Manages all facets of daily operations for ticketing and concessions of onsite events, ensuring full compliance with University, state, and federal laws, policies, and regulations. Collaborates with the Associate Director of Ticketing & Patron Experience, venue staff, and other stakeholders to streamline event operations and maintain a high standard of customer service.
Oversees the supervision of admission and recruitment personnel, which includes hiring, work allocation, training, promotion, enforcement of internal procedures and controls, and problem resolution; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance.
Directs the daily financial activities of ticketing and concessions, overseeing budgeting, accounting, purchasing, and business planning for multimillion-dollar operations. Ensures the integrity of cash-handling and fiscal procedures, including overseeing deposits, reconciling event transactions, and managing cash and credit card processes.
Coordinates, designs, and implements internal financial reporting systems, financial controls, and management information systems in alignment with the University's automated financial reporting systems. Assists in the design and implementation of all documents and forms related to ticketing and concessions, including, but not limited to, ticket stock, menu design, invoices, inventory logs, and other operational forms.
Works directly with concessions staff to implement procedures that ensure efficient sales operations. Monitors, oversees and evaluates key performance metrics such as revenue targets, customer satisfaction, and sales growth. Provides timely, detailed sales and financial reports and maintains comprehensive records.
Assists in reviewing ticketing needs and procedures with venue users; prepares events for system sale, including event builds in the ticketing system, and conducts final event sales audits.
Assists in reviewing concessions needs and procedures with venue users; collaborates with leadership to ensure all concessions events are accurately built in the POS system. Provides initial troubleshooting for POS-related issues and coordinates with IT support when necessary.
Represents the organization at various community and/or business meetings, committees, and task forces; promotes existing and new programs and/or policies.
Partners across the organization to develop strategies to advance ticketing and concessions operations, enhance revenue, and improve the overall patron experience. May participate in marketing and/or educational outreach programs.
Performs miscellaneous job-related duties as assigned.
Minimum Job Requirements
Successful completion of at least 60 college-level credit hours; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Knowledge, Skills and Abilities Required
Ability to plan, implement, maintain and modify/enhance a computerized event ticketing service.
Knowledge of state and federal laws, regulations, and guidelines for the administration of a ticketing operation.
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
Ability to analyze and interpret the needs of customers and offer appropriate solutions.
Organizing and coordinating skills.
Knowledge of organizational structure, workflow, and institutional operating procedures.
Ability to supervise and train employees including organizing, prioritizing, and scheduling work assignments; evaluating performance; and mentoring and coaching employees to achieve maximum productivity.
Knowledge of cash management principles and/or procedures.
Knowledge of credit card operations and procedures.
Knowledge of supplies, equipment, and/or services ordering and inventory control.
Ability to gather data, compile information, and prepare reports.
Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.

Conditions of Employment
Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Work may be performed in an office environment, arts center, theatre or classroom facility.
