Summary

Oversees all operational and administrative matters for the Board of Regents and handles a wide range of issues on behalf of the Board. Provides coordination and oversight in the development of Board agenda, schedules, and activities. Serves as liaison between the Board, the Office of the President, and other senior officers of the University, and coordinates and interacts directly with other Board members, University administrators, faculty, staff, students, public officials, and community members. Reports to the President of the Board of Regents.

Duties and Responsibilities

  1. Serves as principal aide to the Board of Regents, directly handling all day-to-day operational matters, often related to complex and confidential issues, on behalf of the Board; provides support to the Board in dealing with a range of issues, as appropriate.
  2. Coordinate the development and preparation of the Board of Regents agenda.
  3. Schedules, organizes, and coordinates meetings and other Board of Regents functions and events; coordinates attendance of Regents at University and community functions.
  4. Reviews and updates Board of Regents policies; communicates policy updates verbally and in writing through designated channels.
  5. Serves as liaison between the Board and the Office of the President; coordinates and integrates the activities of the Board and the Office of the President; coordinates communication between the Board, the President, and other senior officers of the University.
  6. Serves as point contact on operational and administrative matters for internal and external constituencies, to include faculty, staff, student governance groups, and the community at large; prepares responses on behalf of the Board, as appropriate.
  7. Oversees all facets of the day-to-day administration of the Board of Regents, ensuring compliance with University policies, operating agreements, state and federal laws and regulations.
  8. Gathers, researches, analyzes, and/or studies information affecting University-wide, intradepartmental, or interdepartmental operations.
  9. Independently researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.
  10. Maintains all formal records and archives for the Board of Regents.
  11. Coordinates special projects on behalf of the Board of Regents, as assigned.
  12. May develop/recommend BOR annual performance evaluation/self-assessment as per Higher Ed recommendations/requirements.
  13. May benchmark University Board best practices with peer institutions.
  14. May coordinate and/or assists with establishing or recommending budget allocations for the office.
  15. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 4 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Knowledge of the goals, objectives, structure and operations of a major public university.

  • Ability to develop and maintain recordkeeping systems and procedures.
  • Ability to create, compose, and edit correspondence and other written materials.
  • Advanced analytical, evaluative, and objective critical thinking skills and the ability to effectively summarize and present information.
  • Ability to gather data, compile information, and prepare reports.
  • Exceptional interpersonal skills and the ability to interact and work effectively with administrators, academic leadership, faculty, students, community leadership, public officials, funding agencies, and members of the community at large.
  • Strong computer skills.
  • Knowledge of organizational structure, workflow, and operating procedures in a large, complex organization.
  • Ability to foster a cooperative work environment.
  • Knowledge and understanding of institutional policies and procedures and the regulatory environment within which they operate.
  • Ability to perform complex tasks and to prioritize multiple projects.
  • Advanced verbal and written communication skills and the ability to present effectively to small and large groups.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
