The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Summary

Performs basic accounting functions such as ledger/fund analysis, cost analysis, fund reconciliation, posting, and fiscal control of inventory. Prepares financial reports from standard operating statistics and/or financial data. Investigates and resolves problems related to funds, budgets, expenditures, and/or procurement practices. Provides assistance in the development, implementation and maintenance of internal fiscal systems and procedures, applying basic concepts, methods, and techniques. May serve as unit/area transaction initiator or requisitioner.

Duties and Responsibilities

  1. Monitors revenue and expenses for departmental or unit accounts; ensures expenditure control and compliance with funding and reporting requirements, university policy, and standard accounting procedures.
  2. Constructs routine spreadsheet applications, prepares financial data for input into finance and human resources systems, and generates reports; performs calculations which may include interest and depreciation.
  3. Coordinates the preparation of regularly scheduled and special billings, costs reports, analyses, studies, inventories, and preliminary financial statements for local, state, federal and private funding sources.
  4. Reviews and approves expenditure, personnel, and purchasing documents for availability of funding, mathematical correctness, and compliance with university policy and state and federal funding requirements.
  5. Analyzes, reconciles, balances, and maintains accounting records; develops budgets and special financial reports.
  6. Prepares, reviews, and processes budget, revenue, expense, payroll, and related correcting entries and may prepare bank reconciliations of intermediate complexity.
  7. Interacts with and trains client department staff regarding finance policies and procedures and funding requirements; serves as liaison with client department representatives, vendors, funding source representatives, and patients.
  8. May coordinate and monitor data processing batches including suspense control, cash counts, and balancing.
  9. May supervise and/or lead lower graded staff and/or student employees.
  10. May assist in audit activities.
  11. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • Bachelor's degree and successful completion of at least 9 credit hours of university-level accounting through intermediate accounting; no previous experience required.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Knowledge of federal and state financial regulations, and university financial policies and procedures.
  • Knowledge of computerized information systems used in financial and/or accounting applications.
  • Knowledge of standard and/or fund accounting principles, methods, and applications.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Account balancing and reconciling skills.
  • Ability to set up and maintain financial accounts and ledgers.
  • Working knowledge of financial software tools to quantify and illustrate routine financial reports, statements, and/or projections.

Distinguishing Characteristics

    Position requires: a) preparing preliminary financial reports, statements, and projections using standard and fund accounting principles, methods and applications on an automated accounting system or spreadsheets; b) reconciling, balancing and maintaining standard accounting records, and c) Preparing and monitoring budgets using finance, accounting, budgeting and cost control procedures.

Conditions of Employment

  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
