Summary
Plans and coordinates the day-to-day fiscal, administrative, and operational activities of an academic unit. Coordinates the recruitment, intake, and provision of administrative services to students; oversees scheduling, and provides associated support services to faculty and staff. Duties typically include planning and administration, fiscal management and control, program implementation and administration, internal and external operational/administrative outreach and reporting.
Duties and Responsibilities
Serves as a principal liaison between students and/or faculty, staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative issues. Resolves administrative problems, as appropriate, and/or refers problems to key faculty or staff for resolution.
Monitors, reconciles, and assists with fiscal administration for the unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing; may assist with fiscal planning, including participating in seeking alternate sources of funding.
Collects and analyzes data; prepares scheduled and special reports and statistical information; maintains records and documentation, tracks student progress through the program for completion of requirements; coordinates information required for program operations.
Coordinates and/or facilitates seminars, meetings, special projects, faculty/staff searches, and evaluates the success of these events.
Performs or delegates clerical and administrative support tasks, including creating and editing correspondence, academic course scheduling and/or catalog edits, web pages, purchasing documents, reports, program handbooks, and other related publications.
May coordinate the activities of support staff, consultants, faculty, and/or volunteers engaged in implementation and administration of unit objectives.
May supervise and train lower level staff, student employees, volunteers, and/or interns, as appropriate.
May serve as Campus Security Authority as outlined by the Clery Act.
Performs miscellaneous job-related duties as assigned.
Minimum Job Requirements
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Knowledge, Skills and Abilities Required
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
Knowledge of university accounting procedures involving procurement, travel, contract and grant processes, and/or employment.
Knowledge of planning and scheduling techniques.
Knowledge and understanding of academic programs operating principles and procedures.
Ability to create, compose, and edit written materials.
Records maintenance skills.
Knowledge of office management principles and procedures.
Skill in organizing resources and establishing priorities.
Skill in the use of personal computers and related software applications.
Ability to communicate effectively, both orally and in writing.
Ability to coordinate and organize meetings and/or special events.
Ability to gather and analyze statistical data and generate finance, accounting, budgeting, and cost control reports.
Ability to interact with students, faculty and/or staff in a team environment.
Ability to lead and train staff and/or students.
Ability to make administrative/procedural decisions and judgments on sensitive confidential issues.

Conditions of Employment
Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
Working Conditions and Physical Effort
No or very limited physical effort required.
Moderate physical activity. Requires occasional lifting, pushing, or pulling of objects up to 20-30 lbs. Physical work is a primary part (more than 70%) of the job.
Work is normally performed in a typical interior/office work environment.
