Summary

Oversees the development and creation of each semester's schedule of classes, assignment of academic classrooms, and academic supported special events for the University. Provides systems training and support to faculty and staff at the main campus , UNM branches, Extended University and Continuing Education. Performs project planning, development, implementation and control. Works closely with numerous academic and administrative units on campus to ensure appropriate classroom facilities.

Duties and Responsibilities

  1. Works directly and independently with coordinators of academic units in the development and modification of course and section scheduling resources and accommodations.
  2. Acts as primary point of contact and liaison with academic units on a range of complex scheduling, operational and administrative issues related to academic course offerings and certain types of special events.
  3. Assists in project planning, development, implementation and control to ensure efficiency in meeting the needs of the organization and the University.
  4. Establishes and implements workflow patterns and operating standards to accommodate academic unit course/section scheduling requirements and requests.
  5. Participate in strategic organizational planning and managerial decision making.
  6. Oversees the planning, organization and control of office staffing levels and patterns.
  7. Coordinates and schedules classroom space and related facilities to achieve optimum usage efficiency.
  8. Prepares class schedules each semester; updates schedules to reflect cancellations, rescheduling, addition, or modification of academic classes.
  9. Coordinates maintenance and repair of classroom facilities for main campus; serves as liaison between Physical Plant, Facilities Planning, the architect's and registrar's office.
  10. Work with Faculty Contracts on verification of contract status for proper faculty scheduling of existing sections.
  11. Coordinates data entry and proofs schedules in automated scheduling and/or registration systems.
  12. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Knowledge of planning and scheduling techniques.
  • Knowledge of publishing processes, procedures, and techniques.
  • Word processing and/or data entry skills.
  • Knowledge of computerized student information systems.
  • Ability to schedule events and/or facilities usage.

Distinguishing Characteristics

    Position requires: a) providing leadership in handling complex scheduling procedures; b) design and delivery of workshops for main campus, UNM branches, Extended University, and Continuing Education on the scheduling of classes; c) developing and creating Banner System Scheduling error reports; d) act as subject matter expert on all technical scheduling related issues; e) troubleshooting system problems for faculty and staff; e) managing and updating the Scheduling Office webpage

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
