The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Provides operational and administrative supervision of a specified retail division of the University of New Mexico Bookstore. Oversees and coordinates inventory control, sales and returns, supplier relations, and required reporting. Supervises customer service/merchandise management staff, and/or students.

Duties and Responsibilities

  1. Oversees the day-to-day operations of the retail unit, to include purchasing and stock control, customer service and cashiering, and special sales activities, as appropriate.
  2. Supervises personnel which typically includes recommendations for hiring, firing, performance evaluation, training, work allocation, and problem resolution.
  3. Plans, schedules, and coordinates day-to-day work activities to ensure that all arease are adequately staffed, that work is assigned, and that resources are available to meet performance objectives and deadlines.
  4. Coordinates the work of unit employees in relation to customer and supplier requirements to ensure the overall achievement of established unit objectives and quality/service standards.
  5. Responds to inquiries and researches and resolves problems related to transactions handled by the unit; serves as liaison with other constituencies in the resolution of day-to-day administrative and operational issues.
  6. Oversees stock and inventory maintenance, utilizing computerized inventory control systems to check for stock shrinkage and theft; manages the year-end inventory process for the unit.
  7. Provides functional guidance, orientation, mentorship, and training to staff, students, and/or volunteers performing related work. within the unit.
  8. Reviews, validates, and oversees the processing of receiving reports and payment documentation, as appropriate to the position; may oversee and/or expedite shipping and deliveries, monitoring for inconsistencies, changes, and back orders, as appropriate.
  9. Develops confidentiality recordkeeping procedures and manages appropriate department records in accordance with applicable regulations, policies, and standards.
  10. Develops operating goals and objectives for the unit; implements and administers methods and procedures to enhance operations, as appropriate to the unit.
  11. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Skill in the use of computers, preferably in a PC, Windows-based operating environment.
  • Skill in budget preparation and fiscal management.
  • Records maintenance skills.
  • Ability to communicate effectively, both orally and in writing.
  • Knowledge of customer service standards and procedures.
  • Skill in organizing resources and establishing priorities.
  • Ability to analyze and solve problems.
  • Knowledge of purchase orders and related accounts payable documentation.
  • Knowledge of procurement rules and regulations.
  • Ability to make administrative/procedural decisions and judgments.
  • Knowledge of retail floor merchandising and stock control procedures.
  • Knowledge of retail shipping, receiving, and stock management methods and procedures within a higher education environment.
  • Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
  • Ability to foster a cooperative work environment.
  • Employee development and performance management skills.
  • Knowledge of inventory management principles, procedures, and requirements within a retail environment.
  • Ablity to provide functional guidance, training, and leadership to subordinate staff within area of expertise.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is typically performed in a University retail environment.

The University of New Mexico provides all training required by OSHA to ensure employee safety.
