Summary

Provides clerical and administrative support to a unit involved with institutional fundraising programs and activities. Coordinates activities regarding the solicitation and receipt of donor contributions through pledge drives and/or other fundraising activities. Maintains records and mailing lists; generates fundraising progress reports. May coordinate volunteers.

Duties and Responsibilities

  1. Provides clerical and administrative support for the planning and coordination of fundraising activities such as television on-air time, direct mailings, telemarketing campaigns, and special events.
  2. Provides clerical and/or accounting support to the unit, as appropriate to the position, including typing and data entry of contributions and billings; receives, records, deposits, and tracks revenues.
  3. Confirms, verifies, and/or follows-up on deposits, gift requests, matching gift contributors, and credit card charges; provides information to donors and prospective donors as required.
  4. Maintains database files and records including those used to track contributions; maintains accurate mailing lists.
  5. Determines number of volunteers needed to prepare for and participate in pledge drives and/or other fundraising activities; coordinates schedules, assigns tasks, arranges for training and trains and coordinates volunteers and staff members.
  6. Performs research and obtains supporting documentation to initiate, verify, quantify, or complete assignments.
  7. Schedules appointments and maintains calendars; schedules, coordinates and facilitates meetings, facilities usage, events, and/or travel arrangements, as required.
  8. Generates computer reports of fundraising results; generates labels and mails premiums and/or fundraising materials and/or publications to donors.
  9. May write or draft solicitation proposals, reports, press releases, letters, and other promotional or communication materials.
  10. May prepare daily or specialized reports.
  11. May process underwriting contracts; may maintain underwriting accounts.
  12. May draft or write scripts to be used by on-air talent, producers, and/or production assistants during pledge drives; may edit and/or time programs for airing during pledge drives; may communicate with programming and traffic departments regarding coordinating on-air pledge times/spots.
  13. May lead, guide, and train staff/student employees, interns, and/or volunteers performing related work; may participate in the recruitment of volunteers, as appropriate to the area of operation.
  14. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Ability to perform simple accounting procedures.
  • Knowledge of cash management principles and/or procedures.
  • Skill in the use of personal computers and related software applications.
  • Ability to plan work schedules and assign duties; ability to provide or arrange for training.
  • Records maintenance skills.
  • Ability to communicate effectively, both orally and in writing.
  • Database management skills.
  • Skill in organizing resources and establishing priorities.
  • Ability to supervise, train and motivate staff and student employees, to include organizing, prioritizing, and scheduling work.
  • Ability to read, sort, check, count, and verify numbers.
  • Ability to investigate and analyze information and draw conclusions.
  • Computer data entry skills.
  • Clerical, word processing, and/or office skills.

Distinguishing Characteristics

    Position requires: a) Confirming, verifying and/or following-up on deposits, gift requests, matching gifts and credit card charges; b) providing information to donors and prospective donors; c) maintaining database files and records; d) performing research and obtaining documentation to initiate, verify, quanitfy, or complete assignments.

Conditions of Employment

  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
