Summary

Reviews and processes routine purchasing requests from departmental staff for products and/or services, in accordance with established University policies and procedures. Prepares basic procurement documentation, and interacts with vendors and staff on routine day-to-day procurement issues.

Duties and Responsibilities

  1. Reviews purchasing requests and related documents received from departmental staff to ensure compliance with established University procurement policies and procedures.
  2. Processes purchasing requests using the University's integrated electronic enterprise resources management (SCT Banner) system.
  3. Assists in preparing simple procurement bid specifications and proposal scope of work statements.
  4. Interacts with contracted vendors and staff to coordinate, facilitate, and resolve routine day-to-day procurement issues.
  5. Validates and reconciles or refers vendor payment discrepencies as appropriate.
  6. Maintains vendor files and product information.
  7. Provides routine advice and support to staff on procurement process and documentation issues; may provide assistance in user training and problem resolution.
  8. May assist with work allocation to and day-to-day supervision of student employees engaged in similar work.
  9. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 2 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Knowledge of UNM's purchasing and contracting procedures, regulations, and documentation.
  • Ability to communicate effectively, both orally and in writing.
  • Records maintenance skills.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Analytical and problem solving skills.
  • Basic accounting skills.
  • Ability to perform basic information research and compile statistical reports.
  • Demonstrated advanced working knowledge of Microsoft Word, Excel, PowerPoint, and Access.
  • Skill in the use of computers, specifically in a PC, Windows-based operating environment.
  • Working knowledge and/or experience in Banner, Lobomart, and Webextender.
  • Basic working knowledge of integrated enterprise resources management systems, such as SCT Banner.

Working Conditions and Physical Effort

  • Moderate physical activity. May require physical effort including lifting up to 25 pounds and some extended periods of standing or walking.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
