Summary

Performs property control functions including equipment location and tagging, data entry, and database management. Prepares documents for vehicle licensing and registration. Maintains department bookkeeping system and performs other related clerical and property management duties.

Duties and Responsibilities

  1. Locates, tags, and codes equipment which has been purchased by or loaned to the university; processes equipment check-out and return forms.
  2. Manages equipment databases; enters data and generates periodic reports.
  3. Maintains and reconciles departmental ledgers to the university accounting system; prepares purchasing documents and monitors departmental expenditures.
  4. May prepare insurance reports, insurance claims, and processes payment of premiums; may prepare journal entries for allocation of field trip insurance, recovery money, and premiums.
  5. Prepares courtesy car reports and processes licensing and registration of university vehicles; may arrange for periodic vehicle maintenance.
  6. May lead, guide, and train staff/student employees, interns, and/or volunteers performing related work; may participate in the recruitment of volunteers, as appropriate to the area of operation.
  7. Performs miscellaneous job-related duties as assigned.

Minimum Job Requirements

  • High school diploma or GED; at least 6 months of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Ability to perform simple accounting procedures.
  • Knowledge of shipping, receiving, and inventory control procedures.and documentation requirements.
  • Ability to gather data, compile information, and prepare reports.
  • Knowledge of procurement rules and regulations.
  • Word processing and/or data entry skills.

Conditions of Employment

  • This position is represented by a labor union and is subject to the terms and conditions of the CWA Collective Bargaining Agreement.

Working Conditions and Physical Effort

  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
