Summary

Transcribes medical information using transcription and/or editing system such as voice recognition and proofreads finished documents for accuracy and completeness. May distribute and file reports according to established procedures. May monitor operational quality and productivity, may lead and coordinate day-to-day transcription activities, training, and allocation of work to lower level transcriptionists.

Duties and Responsibilities

  1. Transcribes and edits recorded or written material, including operative reports, patient history and examinations, physician letters and notes, and pharmacy and rehabilitation reports.
  2. Collects statistical data to analyze departmental productivity.
  3. Verifies accuracy of patient information such as name and identification number; verifies accuracy of transcription for correct punctuation, grammar, and spelling.
  4. Maintains logs of medical procedures, incoming dictation, and transcription records.
  5. Follows established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards.
  6. Sorts, copies, prepares, assembles, and files records and charts.
  7. Ensures strict confidentiality of financial records.
  8. May maintain disk and disk back up system; may order supplies and report equipment operational problems.
  9. May take minutes of transcription department meetings.
  10. Performs miscellaneous job-related duties as assigned.
  11. May oversee daily activities of department to optimize productivity and quality of work.
  12. May lead and/or guide employees performing related work; participates in hiring, interviewing, and training process of new transcriptionist.
  13. May distribute and collect decatation and transcribed reports; follows up on physicians' missing and/or late dictation.
  14. Assist supervisor with productivity reports and transcription metrics.
  15. Assist with staff education and may assist Transcription Supervisor.

Minimum Job Requirements

  • High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Knowledge, Skills and Abilities Required

  • Knowledge of medical terminology.
  • Skill in the use of operating basic office equipment.
  • Ability to read, sort, check, count, and verify numbers.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Ability to follow routine verbal and written instructions.
  • Knowledge of human resources concepts, practices, policies, and procedures.
  • Ability to monitor and/or maintain quality control standards.
  • Records maintenance skills.
  • Ability to lead and train staff and/or students.
  • Ability to maintain quality, safety, and/or infection control standards.
  • Knowledge of legal and ethical issues related to patients' rights.
  • Ability to gather and analyze statistical data and generate reports.
  • Transcription skills.
  • Knowledge of related accreditation and certification requirements.

Distinguishing Characteristics

    Position requires: a) Day-to-day quality assurance responsibility for the transcription activities of the unit b) Compilation of statistical data to analyze unit productivity c) Leading/guiding other employees performing related work; participation in interviewing, hiring, and training of new transcriptionists d) Use of independent judgement in customer interactions and response to inquiries for confidential information e) Ensuring unit compliance with legal requirements regarding disclosure of medical records and patient consent

Conditions of Employment

  • This position is represented by a labor union and is subject to the terms and conditions of the CWA Collective Bargaining Agreement.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.

Working Conditions and Physical Effort

  • Work is normally performed in a typical interior/office work environment.
